The Canine Studies College is committed to providing students with simple, clear and understandable terms and conditions. Please read them carefully and should you have any questions, please contact us by e-mail, or telephone. Our Student Administrator will be able to answer any questions you may have. The terms detailed below form the basis of an agreement between you (the student) and Canine Studies College. Please read our Terms and Conditions and ensure you understand and are in agreement with of the contents before registering for any course.
1. Student registration & enrolment conditions.
1.1 Variation and / or cancellation of courses
The College reserves the right to make alterations to courses, tutors, fees or venues without prior notice provided such alterations shall not substantially affect the course content or qualification. To cancel or reschedule courses at their discretion if in the opinion of the College there are insufficient enrolments or attendees. (The average number of students in a classroom is 5; the maximum number of students is 8-10 depending on the course). In such cases the participant shall be offered an alternative day or date or an alternative course. This does not warrant a refund of the student's fees; however the circumstances of each student will be taken into consideration. Work experience, to support your study may also be available if you have already planned time off.

1.2 Attendance, holidays andPunctuality
a. Students should aim to be on time for all enrolled classes. However, if there are circumstances beyond your control that will affect your punctuality, you should try to telephone the College reception, before the start of your class, who will then inform your tutor of your late arrival. The class tutor will make a note of all students who arrive late to class. If students are consistently late for their classes, the class tutor will need to speak to the student concerned to discuss the reason. If you have a genuine reason for any continuous lateness this needs to be discussed with your tutor, being present at certain times within your schedule may be necessary as part of your course and therefore you may not fulfil the necessary criteria for completion if these are missed. Continuous lateness with not be tolerated and if this persists a formal notice will be given to the student, if this then continues a dismissal of the course may follow.
b. If you cannot attend the first session of your course but wish to continue on the programme, you should inform the College Administrator immediately by writing / email to the course tutor. If you fail to do so we reserve the right to offer your place to an applicant on our waiting list.
c. All students should attend all classes that they have enrolled for on their course. No refunds are given for classes that students are absent for, except under special circumstances at the discretion of the Finance Director. If you know that you will be absent on a certain day, prior notice should be given to your class tutor.
d. If you are absent due to illness, you should telephone the College Administrator as soon as possible, who will then notify your class tutor of your absence for that class. If students are absent for more than two consecutive days without prior notice, the College Administrator will telephone the student to enquire about their absence and the course will be suspended until contact is resumed.
e. The tutor will keep a record of the attendance of their students, who will then pass the attendance rate of each student to the College Administrator at the end of the course. All students must have an 80% attendance rate in order to obtain a course attendance certificate at the end of the course.
f. The College has scheduled holidays through out the year to allow for research and completion of the theoretical section of courses. Student holidays are by request and need to be approved by the Tutor and possibly the Education Director. Please note that the College is under no obligation to offer additional classes where students have missed classes due to illness or holiday. If additional classes are required to complete a course there will be further fees chargeable unless there are extenuating circumstances

Grooming class times are arranged as follows:
Morning Classes 9:00am – 12:.30pm (includes a 20-minute break, time allowing)
Afternoon Classes 1:30pm – 4:30pm (includes a 20-minute break, time allowing)
Day Classes 9.00am - 4.30pm (includes coffee, lunch & tea breaks, time allowing) Students are scheduled to complete the necessary health & safety requirements including sterilisation and cleaning before leaving the College at the end of their teaching day, photographic evidence of these activities are included within the student's portfolio)
3. Copyright
3.1The copyright in all material provided by the Canine Studies College (unless expressly stated or otherwise) remain vested in the College and may not be reproduced without the College's specific written consent.
3.2 The copyright in, and any work produced, by the student as part of the course, shall remain with the College and work may be retained at the discretion of the College for display or promotional activities.
4. Liability and Insurance
4.1The College shall not be liable for any loss or damage suffered by a student in connection with the provision of any course or service except in the case of death, personal injury or loss suffered as a result of the College's negligence.
4.2The College shall not be liable to the student for any delay in performing, or any failure to perform, any of the College's obligations, if the delay or failure was due to any cause beyond the College's reasonable control.
4.3The College does not insure students' personal belongings and students are responsible for making appropriate provision in respect of insurance arrangements to protect their property and person.
5. Contract
5.1 On signing the College's enrollment form the student enters into a legally binding contract with the Canine Studies College. You have the right to cancel your enrollment within seven days of receipt of your application by the College. Such cancellation must be in writing. An acknowledgment of your request will then be dispatched by the Student Administrator to confirm its receipt. If you have not received confirmation within 7 days please contact the College immediately. Please retain your confirmation letter without which a refund will not be granted if we cannot trace your request.
5.2 In the event of cancellation under this clause, reimbursement of any fees paid will be made minus administration and accreditation body registration fees (dependent on course being up to a maximum of £200). The accounts are produced monthly and the refund will be auctioned at this time.
7. Access to information

8. Data Protection Act 1998
8.1The College collects and processes information about students to make admissions decisions, to provide education and training and for administrative, health, safety and welfare and security reasons. Some of the data about you may, because of its nature, be classified as ‘Sensitive Personal Data' within the meaning of the Data Protection Act 1998. Since we cannot operate the College effectively without processing this information we need you to sign the ‘Student Data Processing' clause on the enrollment form. If you do not, we will may be unable to offer you a place on a course and may withdraw any offer already made.
NOTE: Nothing in these Terms and Conditions of Enrollment affects your statutory rights.

Financial terms and conditions
9. Payment terms
9.1 Settlement is due on enrollment and in Sterling. Places will not be held without payment. Settlement in full or in part by agreement with the College will ensure that your name appears on the course register. Attendees at classes who have not completed an enrollment will be directed to the Student Administrator to complete the necessary enrollment documentation and to pay any fees due.
10. Interest
10.1The College reserves the right to charge interest at 6% per month if payment is not made by the due date of payment.
10.2 There is a 10% interest charge for payment plans where course fees are not paid in full before commencement of the course.
11. Payee
11.1 Cheques (with a cheque guarantee card) or postal orders should be made payable to the course Tutor. On the back should be written (in block capitals) the name and address of the student, the course title and course code.

12.1 All prices in respect of course fees are correct at time of going to press. Fees may be increased between publication of this prospectus and the beginning of the Academic year. This will not affect current students already on their course.

12.2 What is included in the Tuition Fees:
Use of computers (please see notes below)
A CD with all course work ,to be completed where requested includes information handouts.
Your Tutor contact time and additional Tutorials at the discretion of the Tutor and with permission of the Education Director.
Access to support materials where deemed appropriate for special needs students. Availability of one to one or group tutorials.
The Loan of certain equipment if applicable and agreed depending on requirements.. Stooge dogs and Volunteer People for relevant courses where applicable.
Shampoos and other grooming styling products (for grooming course)
Access to the Student Reference Library
A Student Identity Card for Trips and other appropriate discounts.
Use of Computers
You will have access to a computer; you can also use your own personal laptop to gain access to free wifi Internet access for your personal use. It is your responsibility to ensure that: You do not access or contribute to inappropriate sites on the Internet e.g. pornographic sites or sites encouraging violence or racism. You do not store personal files on the computers. The use of the computers is strictly for educational or personal social use. You may not undertake any commercial activity. The College is in no way responsible or liable for any loss of files/data/images/information or any consequent losses of any material in any way shape or form.
12.3 What is not included in the Tuition Fees:
The following are not included in tuition fees and cannot be paid by installments:
College trips, for example Crufts.
Paper, pens, pencils, cameras, stationery, photocopies.
External examination fees for the City & Guilds qualifications.
Text books, CD storage discs or similar.
Personal property & health insurance.
Equipment required for your course.
Note: Damage to loaned College equipment (charges will be made where any equipment on loan is found to be in a state of poor repair, broken or damaged, lost equipment will be charged at the current purchase value).
13. Withdrawal from course
13.1 All fees agreed on enrollment will be due regardless of whether a student later withdraws voluntarily or is expelled from the course.
13.2 The tutor reserves the right, following discussion with the Education Director and others involved to request a student to leave the course if they are causing disturbance or upset in any way shape or form to other students, staff members or dogs.
14. Reimbursement
14.1 Once enrolled, a student is liable for the fee identified in their enrollment and covered by this agreement regardless of whether they subsequently decide to withdraw from the course. Reimbursement in whole or in part for fees paid will only be considered in truly exceptional cases, subject to clause 1 of the Student Registration/ Enrollment conditions. All applications for reimbursement should be made in writing to the Student Administrator. Appropriate supporting documentation must be attached (e.g. medical certificates).
14.2 The College reserves the right to make a deduction up to of £200 (dependent on the course) from such reimbursements to represent the administration and other cost to the College occasioned by the student's withdrawal. If the College requires a student to leave for reasons of conduct, the student will remain liable for the whole amount agreed at enrollment.
15. Course transfers
Any student who is enrolled on a course and wishes to transfer to a different course should put their request in writing to their Tutor. The decision will be made by the relevant course Tutor and in Agreement with the Education Director. There will be no refunds if the student decides not to continue or joins a course at a lower fee.
16. Credit notes
16.1 Credit notes in whole or in part may be obtained for course withdrawal for reasons agreed between the student and the College which are not covered in the reimbursement criteria above. Credit notes may be valid for a one academic year period from the date of issue and are not transferable subject to the College's discretion. Students should apply in writing for a credit note.
17. Fee reductions
17.1 Funding may be available through Train to Gain, The Job Centre, The Princes Trust, and other charitable and government organisations. We advise students to look on the internet and contact direct.gov who may be able to assist.
17.2 Whilst supportive to students the college is not obligated in any way to secure funding, investigate possibility or organise funding for individual students.
18. Receipts
18.1 Receipts will be provided for all monies paid to the College except where payment is made through BACS or standing order.
18.2 Account Statements are available if requested, repeat requests for account information may lead to charges made on the student account.
19. Certificates
19.1Where successful completion of courses result in the award of a certificate, the College reserves the right to withhold the issue of certificates where fees or other amounts are due to the College. The College usually holds an award ceremony where certificates are presented, if a student is unable to attend it is the student’s responsibility for the collection of their certificates or payment for the postage and reinforced envelope. Current charges are £1.50 for UK students, for European students the charges may vary and the student will be notified of their individual charges when this applies.
20. Non acceptance of applicants
20.1The College reserves the right not to accept applicants or enrollments from individuals or sponsors where 1)fees or other costs from previous courses remain outstanding, until such time as all outstanding fees or other outstanding costs are paid or 2) where previous or expected conduct has been deemed inappropriate by the College.
21. Canine Studies Colleges Complaints and Disciplinary Policy & Student behaviour and Conduct
21.1 Students will conduct themselves in an appropriate manner whilst at the College and in the immediate surrounds of the College location. If at any time a Tutor or other member of staff feels that the conduct of a student is inappropriate the student will be informed, in the first instance this may be verbal, if their is a continuation then the student will be notified in writing and providing that the behaviour ceases immediately the student will be allowed to continue with their studies at the College. In cases of gross misconduct the College had the right to terminate its contract with the student with immediate affect if deemed necessary. All outstanding fees will be payable with immediate affect.
21.2 The Canine Studies College will not tolerate any abusive behaviour towards other students or members of staff. Unacceptable behaviour includes any harassment of any nature, extreme rudeness, offensive behaviour, bullying, actual or threatened violence, any damage to personal property, and verbal and other abuse based on racial, sexual orientation, gender, ability or religious differences. Any abusive or unacceptable behaviour of the above nature should be reported to any member of staff. If a substantiated complaint and an investigation into any unacceptable behaviour are found to be valid, the student causing offence will be excluded from their course and from the College premises with immediate effect. Any outstanding fees will be payable with immediate effect.
21.3 If any student has a complaint against another student or member of staff that requires urgent attention; they should contact their Tutor or Education Director as soon as possible. If these people are unavailable, they should tell any member of staff and put their complaint in writing, giving as much detail as possible. If there are valid grounds for complaint, the College will deal with the situation appropriately and with discretion and sensitivity. The college will not black list or deter the success of any student should they make a valid complaint against the College.
22. Non payment of fees
22.1In addition to the terms of clause 13 above, the College reserves the right to terminate an enrollment at any time during the life of a course where fees are outstanding or where any agreed installment payment defaults. In the event of the College exercising the right to terminate an enrollment, the person concerned has a right of appeal under the terms of the College Appeals Procedure, available from the Student Administrator.
22.2The College will take legal action for the recovery of monies due and in such circumstances the College reserves the right to make charges of up to £250 to represent the administration and other costs to the College occasioned by the non-payment and any other subsequent unforeseen costs.
23 Health and Safety
23.1The following information relates to Health and Safety procedures, which will help us to provide a safe and comfortable environment for all our students and College staff. Please take time to read all the information carefully.
24 Smoking and Drinking Policy
24.1Smoking is prohibited within the College premises and no alcoholic drinks to be consumed during courses or breaks.
25 Fire Safety Procedures
25.1Fire extinguishers can be found near all fire exits. In the event of a fire, the gathering point for all staff, students and visitors will be across the car park opposite the front of the building where sign posted. Do not stand in or near the road. If you see a fire anywhere in the building, the alarms can be set off by breaking the glass panels of the fire alarm buttons located near the main exits of the building.
25.2 All College staff and students will be up-dated regularly on fire drill procedures and all staff and students undergo a fire drill practice 12 times a year. However it is the individual student’s responsibility to keep up to date with the fire safety procedures as given to them during induction.
25.3 All College staff and students will be up-dated with Flood Risk and Evacuation Procedures, and staff undergo Flood Evacuation Training 12 times a year.
25.4 Evacuation Procedures are placed in sight at several locations around the Centre, following course enrollment it is the student’s responsibility to locate Evacuation Notices and ensure they are understood.
26.First Aid
26.1 Sara Hart is the appointed first aid administrator for the College, and she is qualified to deal with any first aid emergencies. First Aid boxest are kept in the College reception area where clearly sign posted.
26.1 Information on other appointed canine and human first aiders are clearly stated within the Evacuation Notice.
27. Assessments
27.1 On practical courses the assessments are ongoing through out your course and make up 50% of your overall grade.
27.2 On the majority of courses subject to the course requirements, assessments can be oral, written, Q&A, presentations and video evidenced. Where students are affected by special needs alternative arrangements for assessments may be made to ensure access to qualifications are not solely based on academic achievement.
28. Force Majeure
28.1 A basic stipulation of the agreement/contract between students and The Canine Studies College, or its representatives, is that neither The Canine Studies College or its representatives are liable for refunds or damages, however arising, in cases where The Canine Studies College is unable to fulfil any services to which they are contractually bound because of labour disputes, insufficient demand for classes or other reasons which are beyond their control.
29.Liability
29.1The College, its employees and its representatives accept no responsibility for personal injury and/or loss or damage to personal property on the College premises whether as a result of fire, burglary, theft or otherwise. This condition also applies to public and private places included in College trips and excursions.
29.2The College is not responsible for the safekeeping and delivery of any post, fax etc. sent to students at the College address or for the safekeeping of exam results or certificates.
30. Students’ Suggestions
30.1 We at The Canine Studies College would like to hear the views of our students, and we welcome any suggestions that you may have. If any student wishes to make any suggestions towards the improvement of their time spent at the College, you are free to express your views by writing a suggestion and placing it in the Suggestion Box placed in the College reception area. If you prefer to make a suggestion verbally, you can do so by speaking to any member of staff. You will also be given the opportunity to complete a course questionnaire at regular periods and at the end of your time with us. There are also regular feedback sessions arranged by your tutor.
31. General
31.1Photographs of the students and or their dogs may be used in the College’s promotional and publicity material unless the student specifically objects. Students will not be paid for the time involved in the taking of such photographs and will assign to the College any rights to royalties they may have. The College reserves the right to use all photographs in any way the College sees appropriate in promoting itself and the copyright to all photographs shall belong to the College. 31.2 Personal calls or messages can be taken by the College office on behalf of the students, except in cases of real emergency the College cannot guarantee prompt delivery.
31.3 The student is expected to keep the College informed of any change to their address, next of kin, medical condition or other relevant contact information.
31.4 It is the Student’s responsibility to ensure that any records kept by the College are correct in terms of content, spelling and current.
31.5 It is the policy of The Canine Studies College not to disclose personal details of any student to a third party (other than the appropriate authorities) without prior written authority of students.
31.6 The College does not provide parking or storage facilities. Any items left at the premises or outside the College is left at the owner’s risk.
31.7 The decisions of the Education Director and / or Finance Director will be final and binding in all cases and for all students and/or their agents/representatives. 31.8 All students are liable for any damage they may cause to equipment and premises and will have to pay the full cost of replacement or repair at the current value of replacement.

31.10 The Canine Studies College accepts students on the assumption that they are in good health and any illness or physical problems need to be disclosed.
